Microsoft Teams Rooms and Copilot FAQ

This synergy allows users to stay updated even if they miss a meeting. Teams Rooms’ in-room speakers attribute speakers in the transcript, enhancing the value of Copilot’s intelligent features. We’re sharing this FAQ to help you get started today!
How do Copilot and Teams Rooms work together?
With Copilot and Teams Rooms, users can enjoy more productive meetings and quickly get up to speed for missed meetings. Copilot can recognize and attribute meeting dialogue to the correct speakers. This enables Copilot to provide intelligent, extremely valuable intelligent recaps, insights, and responses to queries about the meeting.
To leverage Copilot when presenting in native Teams Rooms you need:
- Teams Rooms Pro license, per room.
- Teams Rooms components, including a Teams Rooms console
- Copilot for Microsoft 365 license, per user.
- Each user creates voice profiles.
- Intelligent speaker (cloud-based or intelligent device).
What is an intelligent speaker?
There are two methods of implementing intelligent speaker recognition. There are physical, intelligent speakers available now that use multi-channel audio.
Cloud-based intelligent speakers will be coming soon for existing speakers that use single-channel audio. These speakers will be generally available for Teams Rooms on Windows by the end of H1 CY2024 with Teams Rooms on Android available in Q3 CY2024.
Intelligent speakers enable speaker recognition and attribution, so in-room participants can be identified in live transcription. During the meeting, all participants can easily see who’s saying what, and the post-meeting transcript identifies both remote and in-room attendees (except any who choose not to be identified).
Do I need an intelligent speaker?
Certified for Teams intelligent speakers which use multi-channel audio provide the highest quality audio quality and speaker recognition. However, a Teams Rooms with other speakers and microphones can take advantage of speaker recognition and attribution with the cloud-based intelligent speaker technology which is coming in Q3 CY2024.
What license is required to access meeting room intelligence, including speaker recognition?
A Teams Rooms Pro license for the room enables inclusive meeting experiences, intelligent audio, video, and speaker recognition with transcript attribution for those in the meeting. Post meeting, users licensed for Teams Premium or Copilot can take advantage of the AI-driven features to make catching up and getting right to what they need to know fast and easy.
Does intelligent speaker have limits for the number of people in the room it can recognize?
To ensure the best precision for intelligent speaker, the ideal number of attendees is 10 or less. The current limitation for people invited with voice profile is currently 20. After the 20 enrolled person capacity is exceeded, they will be distinguished but labeled as generic Speaker 1, Speaker 2. That limit will likely increase in the future.
When joining a meeting from a Teams Rooms, how is my voice captured?
Voice and face profiles are used to isolate and attribute speech in the Teams transcript.

Will guests invited to meetings be attributed in a meeting transcript?
No. Biometric features are tenant specific. Guests will appear as Speaker 1,
Speaker 2 etc.
How does enabling speaker recognition and attribution differ for a Teams Room vs a BYOD room?
In a Teams Room, all in-room participants are automatically recognized if they have created a profile. Alternatively, manual assignments can be done in the live transcript.
In a BYOD room, where meetings are hosted by a user’s device, the host needs to be licensed for Teams Premium or Copilot to enable speaker recognition and attribution in transcripts. The level of meeting Copilot intelligence an attendee can take advantage of is based on their individual user license.
How does Copilot handle data privacy and compliance?

Is there an additional charge for Copilot features?
Yes, Copilot is licensed separately. Taking advantage of Copilot is based on the end-user’s licenses. Individuals need a Copilot license to leverage Copilot with Teams Rooms.
